✨ Overview
Understanding why an employee leaves your company means turning every departure into an opportunity for improvement!
The exit interview is a resource exclusive to offboarding journeys, designed for HR teams to conduct a structured conversation with departing employees. It allows you to gather valuable information about the reasons for leaving, identify areas for improvement, and enrich your HR analytics with consolidated data. Turn data into concrete action plans (management training, salary review, work-life balance).
🙋 To learn more about the specificities of offboarding, visit the dedicated documentation.
⚙️ Create an Exit Interview
1. In the Libraries section, click on the Resources page then "Create a resource"
2. Click the "Exit interview" button in the list that appears
3. Enter the title of the exit interview (by default it will be "exit interview") then select the environment.
ℹ️ The Reasons for leaving section and its two associated questions cannot be deleted or customized:
📈 Indeed, they are used in the departure tracking dashboard (“Analytics” tab > ‘Reports’ > “Departure Tracking”).
4. You can then add sections using the corresponding button and include a short description.
5. Once the section(s) are created, create the questions: Fill in the title, the answer format (the 3 available formats are: Free text field, Multiple choice and Single choice) and the section in which the question will appear.
6. Don't forget to click "Save" to save your question. You will then need to click "Save" again to save the exit interview.
7. Your exit interview is created! You can now add it to a template or directly into a journey.
💡 Our recommendations
1. Customize your exit interviews based on:
-
The type of departure (resignation, retirement, dismissal, end of contract). Here are some use cases:
📋 Resignation / Voluntary departure
Objective: Understand the motivations behind the departure and identify areas for improvement.
Examples of customized questions:
- What most influenced your decision to leave?
- What would you have liked to see change in order to stay with the company?
- What are your best memories at the company?🔚 End of contract (fixed-term, apprenticeship, internship)
Objective: Collect experience feedback and identify talent to re-engage.
Examples of customized questions:
Did this experience meet your expectations?
Would you be interested in a future collaboration? Were you able to hand over your responsibilities to your successor?
🎓 Retirement
Objective: Celebrate the journey and gather advice for future generations.
Examples of customized questions:
What are your best professional memories?
What advice would you give to the next generation?
Would you be interested in mentoring?⚠️ Dismissal / Involuntary departure
Objective: Adopt a compassionate tone and protect your employer brand.
Examples of customized questions:
What did you appreciate during your time with us?
Do you feel supported in your professional transition?
Would you recommend our company as an employer? (optional)
Benefit: Limit the risk of negative publicity and identify potential gaps in your processes. -
The populations and roles (managers, executives, operational staff). Here are some use cases:
Managers: Add questions about team management, autonomy and steering tools.
Senior executives: Focus on company strategy and governance.
Operational staff: Focus on working conditions, equipment and on-the-job training.
2. Combine multiple templates with differentiated interviews
If you choose to customize your exit interviews (see previous section), it is recommended to integrate them into specific templates that will be added on top of the base template when creating the journey.
Example: A base template "Departure - Base" grouping common logistical tasks (without an exit interview) + A specific template "Retirement" which includes the tailored exit interview.
⚠️ If multiple exit interviews are present in the templates added to a journey, the one from the last template added will be used.
3. Duplicate an interview to update it
Exit interviews are not versioned automatically. Editing questions overwrites previous answers, even for already completed interviews.
If you need to add or remove questions, it is therefore recommended to create a new survey (or duplicate the existing one), then manually replace it in the templates so that future journeys benefit from the updated version.
