⚠️ Prerequisite: Access to resource settings requires the "Resource Access" authorization.
This resource allows stakeholders in a journey to exchange documents with the employee.
You can configure documents that the employee will need to:
- Download
- Fill out / Upload again
⚠️ This article does not cover the configuration of documents to sign. Please refer to this article.
1️⃣ Configure the Document resource
In your side menu, select the Libraries section, then the Resources page.
Click the “+ Create a resource” button in the top right corner.
When setting up the document resource, several fields are available:
-
- Title: the title of the document as it will appear to the employee
- Description: add a description visible to the employee, who is the final recipient of the document
- Environment: if your company account includes the multi-environment option, you can choose which environment to create this resource in.
- Technical ID: do not fill this in — this field is completed by Workelo when connectors are implemented
-
Action type: defines the action the employee must perform with this document. They can:
- Download the document
- Fill out / Upload
- Document upload section: you can upload your templates or documents to be shared with the employee. If it’s a specific document that the employee must upload later, leave this field empty!
2️⃣ Add the Document resource to your journey template
Once created, you can insert the Document resource at the desired step within your journey templates.
Specific case: Document with an intermediate upload step
If no template file was uploaded in the resource, you’ll need to assign a responsible person in the template.
☑️ First, the responsible person will have an action in their list asking them to upload the template file.
Once this is done, the action will switch to the employee’s side.
1. Click the Edit button on the corresponding line
2. Fill in the required information
- Step 1 - Stakeholder who must upload the document: you can choose from generic roles or assign the action to a specific person by typing their name or email.
- Allow action deletion: if enabled, the stakeholder will be able to delete the action.
- Step 2 - Completion or Download: employee by default
- Due date: you can adjust the due date of the action from this window
-
Notify upon completion: if enabled, you can specify:
- which step requires notification
- who should be notified at that step (employee, manager, HR, etc.)
